How to use Agenda Master.

One table. Every view draws from it. Nothing is copied anywhere, ever.

1 Β· What Agenda Master is

The agenda is the most-copied sheet in event planning: one version for the planning team, a prettier one for the client, a third for the executives. Then a time changes. Agenda Master keeps one source table and generates the other two views from it. This is not a production rundown β€” no technical cues, no supplier tasks. It's the agenda, made approvable.

2 Β· The master table

One row per agenda block. Times, name, type, audience, room, owner, status, update note. Block IDs (WED-001…) assign themselves β€” rows sort by start time within each day. Blocks in the same room at the same time turn red. Different rooms at the same time is a parallel session β€” the app asks you to confirm it with the gold βˆ₯? chip (so a genuine timing mistake never hides as an accidental \u201cparallel\u201d), and the visual view draws confirmed parallels side by side.

3 Β· Days

πŸ—“ Edit days holds the day list β€” weekday, date and a label (Arrival day, Conference day 1…). Dates are text on purpose: no spreadsheet will ever turn your "1.1." into 1 January again.

4 Β· Your own columns

οΌ‹ column adds a column to the master table β€” estimated PAX, catering notes, whatever your event needs. Your columns ride along in the CSV export and print. The built-in columns feed the visual agenda; yours are for you.

5 Β· Visual Agenda β€” for the client

The day-by-day grid: days as columns, time down the side, every block positioned and coloured by type. Breaks and meals in gold, plenaries in navy, parallel sessions side by side. 6 Β· Cheat Sheet β€” for the executives

One card per block: purpose, content logic, participant outcome, speaker/lead, key message, input needed from leadership, decision. Write these once β€” the card carries the block's time and room automatically. Filter to needs leadership input before the steering call, print A4, done. Breaks and transfers stay hidden unless you want them.

7 Β· Status and approvals

Every block is Draft, In review, Approved or Cancelled. The bar in the toolbar shows how much of the agenda the client has approved β€” and the update note column tells everyone what changed since they last looked.

8 Β· Present β€” the meeting screen

β–Ά Present is the full-screen view for agenda meetings and event-day lobby screens: one day, large type, live clock, the current block highlighted. Nobody reads a spreadsheet off a wall. This they read.

9 Β· The block library

πŸ—‚ Block library holds the standard building blocks β€” arrival coffee, keynote, workshop round, conference lunch, gala dinner β€” with sensible durations and a ready-written purpose line. Add one to a day and adjust. Your own blocks can be saved there too.
