How to use Customer Journey Mapper.

One journey table. Every view draws from it. Not a production rundown — an experience planning tool.

1 · What it is

Your agenda says what happens. Your production plan says who builds it. Neither says what a delegate, a speaker or a sponsor actually experiences — where the day can fail for them, and where one better idea would be remembered for years. This tool maps that, group by group, before the plan gets too fixed to change.

2 · The Journey Builder

One row per journey step. Each customer group has its own section — drag rows by the ⠿ handle to reorder, or drag a step onto another group to move it. Step IDs (DEL-001…) assign themselves. ⧉ duplicates a row, + step adds one to the group.

3 · The thinking columns

The value is not the table. It's the questions the columns make you answer: what is the customer trying to do here, what can go wrong, what should they feel, what have we planned — and what is the one better idea for this moment. Long text opens in a popup; the print always shows everything.

4 · Main CX sweet spot

One dropdown instead of seventeen checklist columns. Pick the experience angle that matters most at this step — wayfinding, networking, food & beverage, sponsor value… Choose "+ Add new…" to add your own categories.

5 · Customer groups

The 👥 Customer groups tab is the master list — delegates, speakers, sponsors, VIPs, leadership, exhibitors, staff. Add a group there and it gets its own journey section. ⧉ Copy journey copies one group's steps to another — build the delegate journey once, copy it to VIPs, keep what applies, sharpen what differs.

6 · Stages and phases

🧭 Edit stages holds the journey stages — from invitation to post-event follow-up — each belonging to Before, During or After. The defaults fit a B2B conference; rename, add or reorder them to fit any event.

7 · Marking WOW candidates

Not every step needs a wow. When a step deserves extra care, budget or creativity, tap the ☆. The step stays in the journey — and appears in the ★ WOW Sheet, where the idea gets developed: smile factor (how hard will they smile, One to Four), a GO / waiting list / no-go decision, production notes and a budget note.

8 · The views

👤 Group View shows one group's journey as a storyboard — task, friction in red, desired outcome in green, stage by stage. This is how you review the event as one person. 🗺 Journey Overview is the before / during / after picture for the client and the team: every group, every stage, coverage and wow moments at a glance. Both print clean.

9 · Present — the workshop screen

â–¶ Present is the full-screen view for planning workshops: one group's journey on the wall, WOW moments in gold, critical steps flagged. Walk the room through the event as the customer will live it.

10 · Your own columns, filters and gaps

+ column adds what your event needs — venue area, supplier, sustainability note. ⚙ Columns hides what you don't. The bar in the toolbar shows how much of the journey is thought through (task + friction + outcome filled), and ⚠ counts steps that need attention: critical moments with no owner, wows with no idea.

11 · Saving and sharing

Everything saves automatically in this browser. 🗂 My events holds all your events; ⤓ Save file / ⤒ Open file move an event between computers. 🔗 Share makes two view-only links — one opens the full table, one opens straight into the client's overview. The 🗂 Step library has standard B2B conference steps ready to add; 📥 Paste steps takes a list straight from your old spreadsheet.

Journey stages

Every step belongs to a stage; every stage belongs to Before, During or After. The defaults fit a B2B conference — rename, add or reorder to fit your event. Order with the arrows; the views follow this order.

Columns

Hide the columns you don't need today. Hidden columns keep their content and still export to CSV.

Copy journey

Copies every step of one group's journey to another group. Statuses reset to Open; WOW stars stay. Then keep what applies and sharpen what differs.
